Digital Procurement

Docsweb Digital Procurement is an intuitive and customisable platform designed to manage all procurement-related processes – both structured and unstructured – by governing documents, workflows, electronic signatures and interactions with suppliers and external stakeholders, while ensuring operational efficiency, cost control and full traceability.

The Digital Procurement solution covers the entire Source-to-Pay lifecycle, adapting to corporate processes and integrating natively with ERP systems and existing information systems.

Supplier Qualification

Comprehensive management of supplier master data, with automatic requests for the required documentation based on product or service category. Suppliers are engaged through Active Mail Push or via the Supplier Portal, with automatic creation of the Digital Supplier Dossier and continuous monitoring of documents, deadlines and compliance requirements.

Request for Quotation (RFQ) and Tender Management

Distribution and sharing of RFQs with suppliers, automated collection of proposals and structured comparison of received data. Supplier selection can also be based on vendor rating and defined economic and qualitative parameters.

Order Issuance and Confirmation

Issuance of purchase orders from the ERP system or directly from Docsweb, with transmission to the supplier for confirmation of prices, quantities, delivery dates and payment terms. Suppliers can confirm or propose amendments directly within the digital workflow.

Service Delivery and Goods Receipt

Monitoring of supply progress and verification of service delivery through corporate workflows. All related documents (purchase order, delivery note, invoice, contracts) are collected within a single Digital Order Dossier.

The Docsweb Digital Procurement solution ensures enhanced control over dossier consistency, with centralised, structured and highly searchable digital files. At the same time, the organisation’s documentary information assets remain fully protected and secure, thanks to strict compliance with GDPR and AgID regulations.
Push technology enables the rapid and transparent management of all stakeholders involved in workflows — including customers and suppliers — significantly increasing engagement and response rates.

Among its advanced capabilities, through the integration of Artificial Intelligence (via AI-Docs), the platform streamlines procurement processes by automating contract creation and management.
Docsweb Digital Procurement addresses organisations’ need to reduce time and costs, while also contributing to the reduction of environmental impact.
